Freight broker software

One workspace for loads, shipments, carriers, and the paperwork in between

VaultPilot is an AI-native freight operating workspace. Every load keeps one record — from intake and quoting through dispatch, carrier coordination, tracking, documents, and invoicing — and the assistant works from that same record.

VaultPilot is in active development. Capabilities described here reflect what the product does today; external actions stay under human control.

Illustrative VaultPilot interface motif. Placeholder references only — not customer data and not a live board.

The modules a brokerage actually runs on

Each module below is part of the same connected workflow, not a separate tool.

  • INTAKE

    Load intake and quoting

Capture a load once — lanes, equipment, references, and rates — and carry that record through quoting without re-keying it into another system.

  • LIFECYCLE

    Shipment lifecycle

Every shipment moves through one canonical lifecycle, so operations, documents, and billing read the same record instead of separate spreadsheets.

  • DISPATCH

    Dispatch and assignment

Assign carriers to loads, work the covered and uncovered board, and keep tender and dispatch status attached to the shipment it belongs to.

  • CARRIERS

    Carrier coordination

Maintain a carrier directory with onboarding records and identity checks, and give carriers a scoped portal view of the shipments assigned to them.

  • TRACKING

    Tracking with a truth boundary

Positions appear only when they come from an authorized, connected telemetry source. Where no authorized source exists, VaultPilot says so instead of guessing.

  • EVIDENCE

    Documents and evidence

Rate confirmations, PODs, and supporting files stay linked to the shipment lineage that produced them, with an audit trail behind each change.

From load intake to invoice, on one record

  1. 01

    Intake and quote

Enter the load, price the lane, and send the quote — the shipment record is created once and reused everywhere after.

  2. 02

    Cover and dispatch

Match a carrier from your directory, confirm the assignment, and dispatch without leaving the shipment.

  3. 03

    Track, document, bill

Follow status and authorized position updates, collect the paperwork, then invoice against the same lineage.

Governed AI assistance that stays inside your data

VaultPilot's assistant answers questions about your loads, shipments, and carriers using your workspace records. Model calls run through one governed gateway, scoped to your tenant and your role.

  • Summarize a shipment, its documents, and its open exceptions.
  • Draft operational follow-ups from the record rather than from memory.
  • Surface recommendations for review — a person still decides and acts.

Security and truth boundaries

  • Tenant isolation. Every record is scoped to your organization and enforced at the database with row-level security.
  • Role-aware access. Permissions are checked on the server, not hidden in the interface.
  • No invented telemetry. A position is shown only when it comes from an authorized, connected source. Missing evidence is reported as unknown, never filled in with an estimate.
  • Human-governed actions. Actions that reach outside the workspace require a person to authorize them.
  • Auditable history. Changes keep their provenance so you can trace what happened and when.

Who VaultPilot is built for

  • Freight brokers

Run intake, quoting, coverage, and billing against one book of record instead of chat threads and spreadsheets.

  • Dispatch teams

See the board, assign carriers, and work exceptions from the same screen your shipment data already lives on.

  • Growing brokerages

Multi-tenant, role-aware workspaces so new dispatchers and back-office staff only see what their role permits.
